JOB TITLE:                Education Assistant   

JOB DESCRIPTION:

Provides coordination, technical assistance, and administrative support to the Education Director in the planning, development, implementation, monitoring, evaluation and improvement of Foundation educational programs.  

The Education Assistant supports the development of teaching tools from resources found in the archives of the U.S. Army Heritage and Education Center.  

Is familiar with the Foundation’s long term education goals, strategies, timelines and budgets. 

Assists in the planning, coordination and preparation for the National History Day in Pennsylvania’s program and competition. 

Assists in the management of the Foundation’s Researcher for Hire program.

Performs other duties as required.

Responsibilities and DutiesResponsibilities include the following:

  • Assists with research and documentation of topics selected to support the Foundation’s education resource development and strategic communications missions.
  • Assists the Education Director with research for funding sources for Foundation education programs and products.
  • Assists with development of curriculum-based activities and programming.
  • Compiles records/documentation of primary source materials, to include books, letters, diaries, photographs and artifacts. 
  • Scans photo images and materials for use in developing outreach products.
  • Assists with preparation for, and conduct of, Foundation education conferences and symposia as directed.
  • Assists and coordinates arrangements for National History Day in Pennsylvania.
  • Gathers data, analyzes information, and prepares reports.
  • Attends conferences, symposia, seminar meetings to promote and support the Foundation’s education mission.
  • Prepares travel arrangements within budget guidelines.
  • Co-ordinates with colleges and other educational institutions to recruit interns and volunteers.  Makes arrangements for interviews with the interns.  Attends intern interviews and contributes to evaluations.
  • Maintains calendar for education related activities.
  • Assists with website upgrades.
  • Prepares educational mailings to include record keeping of same.
  • Assists with grant timelines and budget details.
  • Receives and processes Researcher for Hire requests.
  • Answers Education Department incoming phone calls and email inquiries.
  • Prepares purchase requisitions for supplies and performs research for equipment for the Education Department.
  • Maintains receipts for the Education Director’s credit card purchases and assists with the monthly charge account reconciliation.
  • Prepares expense reports.
  • Makes the necessary arrangements to facilitate conference calls.
  • Provides general administrative support to the Foundation staff as needed. 

Organization Relationships:  The Education Assistant works under the day-to-day guidance of the Education Director. 

Job Requirements

  • Must be able to pass:
    • Pennsylvania State Police Request for Criminal Records Check
    • Department of Public Welfare Child Abuse History Clearance
    • Federal Criminal History Record Information (CHRI)
    • Office of Personnel Management and Carlisle Barracks Installation Clearance
  • Must be able to walk, stand, stoop, bend, reach and crouch; occasional prolonged walking and standing; occasional lifting of 25 lbs or more.
  • Limited exposure to physical risk.
  • Must be able to work occasional evenings and weekends.
  • Must be able to travel overnight infrequently.

Knowledge & Skills:  The Education Assistant is required:

  • To have a high school diploma and five years of administrative experience.  Some college desired.
  • Ability to use office automation equipment to include digital camera, office copier, fax machine, scanners, and computers.
  • Ability to use and develop spreadsheet applications, word documents, and graphic presentations.  Familiarity with Microsoft Office products desired.   

Salary:  Commensurate with qualifications and experience.  Position is part-time, non-exempt.
